Maple Services Agreement - Video Remote Interpreting
Maple Communications Group Inc., “MCG”, accepts both unscheduled and scheduled (at least 24 hours in advance) VRI calls. Our interpreters are available for unscheduled call 24 hours a day, 7 days a week, and 365 days a year.

Unscheduled VRI
Unscheduled VRI is ideal for walk-ins or last minute arrangement. Service is available 24/7/365 so use anytime as needed.

The rate is $4.00 per minute with a 15 minute minimum and is billable on a per-minute basis after that.

Scheduled VRI
Scheduled calls are often a better fit for events, lectures, or meetings. In scheduling the event, the following information is required:

  1. Date and time of event;
  2. Nature of service to be provided;
  3. Location of the event and name of the Deaf client;
  4. Name and telephone number of the on-site contact;
  5. Anticipated duration of the assignment.

Standard rate for scheduled VRI is $95 per hour with one hour minimum. A minimum of one (1) business day’s advanced notice is needed; however, requests received on a shorter notice will be accepted depending on availability.
Court rate for scheduled VRI is $120 per hour with two hours minimum. A minimum of three (3) business days’ advanced notice is needed however requests received on a shorter notice will be accepted depending on availability.
Should a particular interpreter be requested for an assignment, MCG will attempt to assign the named interpreter to the event, if possible. Any assignment anticipated to exceed 1.5 hours will require a team of at least two interpreters. Breaks of less than two hours will be considered part of the assignment. Send requests to:

Setup Fee
Unscheduled VRI: There is an initial setup fee of $150.00 to create a parent account. Child account(s) can be created as needed at no additional charges. This includes technical support to ensure that VRI is working on your network.

Scheduled VRI: Initial setup fee of $150.00 to create a parent account. Five child account(s) can be created as needed at no additional charges; additional child account can be created at $20 per account. This includes technical support to ensure that VRI is working on your network.

Initial setup fee of $150 will cover the opening of parent accounts for both unscheduled VRI and scheduled VRI and will not be billed separately.
Fees are charged on an hourly rate per video interpreter. Assignments are billed on an hourly basis, with an hour minimum at $95.00, and $95.00 for each additional hour.
Night, weekend, holiday rates
Video Interpreting assignments between 5:00 pm – 8:00 am, or on Saturdays and Sundays, the rate is $150.00 per hour and $150.00 each additional hour.
Holiday rates will be charged one and ½ times the normal fees.
Cancellations/Time changes
Notification of cancellation or time change made with less than two full business days before the day of the scheduled event will be billed at the full rate agreed upon. MCG will provide a detailed invoice for all services and expenses - invoices for unscheduled VRI will be billed at the end of each month; invoices for scheduled VRI will be billed after each event. All invoice payments are due within thirty days of date of invoice.
Late Fee
All invoice payments are due within thirty (30) days of date of invoice. Late payment will incur charges on the past due amounts at 10% per annum compounding of the total late amount.
Emergency Rate
Requests made for same day assignments will be charged at an emergency rate of $120 per hour.

Required Authorization
MCG can begin providing services once authorization to bill is made, in writing. MCG will accept this form signed and returned via email. Signature below is evidence that the person signing is authorized to guarantee payment on behalf of himself/herself, if for an individual, or for the business entity requesting the service. By signing, you agree to MCG’s terms and policies below.

Terms and Policies
1. ENTIRE AGREEMENT/NO MODIFICATIONS The rates and terms set forth on page one, and these terms and policies on this page (collectively the “Rates and Terms“) and the attachments specifically referenced within this document constitute all of the terms and policies relating to the relationship between you and Maple Communications Group (“MCG”), and they supersede any other written or oral understandings or communications; any other documents enclosed or provided are intended for reference and are not a part of the Rates and Terms. The rates may be changed by MCG after 30 days prior notice to Customer, all remaining Rates and Terms and any attachment hereto may be modified or amended only by a written amendment executed by an officer of MCG.
2. LIMITED LIABILITY/DISCLAIMERS MCG will provide interpreters with skills that are consistent with industry-wide standards. Customer retains the responsibility for ensuring that services are provided to the persons requiring such services. Therefore, Customer agrees to indemnify, defend and hold harmless MCG, and any of its contractors, employees, officers, agents, owners and representative from any damages, losses, liabilities or claims arising out of the services, except for claims arising out of MCG‘s negligence. IN ANY EVENT, MCG SHALL NOT BE LIABLE FOR ANY INDIRECT, CONSEQUENTIAL, SPECIAL, PUNITIVE OR EXEMPLARY DAMAGES ARISING OUT OF THE SERVICES PROVIDED HEREUNDER, WHETHER ARISING OUT OF CONTRACT OR TORT, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. MCG disclaims any express or implied warranties regarding the services that are not contained in the Rates and Terms.
3. INSURANCE AND SAFETY Customer is responsible for providing safe and secure access to MCG interpreters for any facilities in which services are to be provided, if such services are to be provided at a location other than MCG‘s own facilities. Customer has an affirmative duty to warn MCG and MCG interpreters of any safety concerns, health risks, or other dangers associated with providing interpreting services to Customer. Customer will maintain industry standard liability insurance regarding visitors to its premises. Customer will provide adequate direction and guidelines where appropriate to enable the interpreter(s) to effectively provide services.
4. GOVERNING LAW AND DISPUTE RESOLUTION The Rates and Terms, and services provided by MCG hereunder, shall be governed by the laws of the Province of British Columbia, without regard to choice of law principles. The exclusive venue for any action arising out of the Rates and Terms shall be a provincial court in British Columbia. If any court action is necessary to enforce these Rates and Terms, the prevailing party shall be entitled to reasonable attorney fees, costs, and expense in addition to any other relief to which the party may be entitled.
5. SEVERABILITY The provisions of these Rates and Terms are severable, and if anyone or more such provisions shall be determined to be invalid, illegal or unenforceable, in whole or in part, the validity, legality and enforceability of any of the remaining provisions or portions thereof shall not in any way be affected or impaired thereby and shall nevertheless be binding between the parties hereto.
6. ASSIGNMENT Customer will not assign these Rates and Terms or any rights hereunder, by law or otherwise, without MCG‘s party‘s prior written consent. Subject to the foregoing, this Agreement shall be binding on any successor or assigns of the parties.
7. INDEPENDENT CONTRACTORS The parties to this Agreement are independent contractors. No agency, partnership, joint venture or employee-employer relationship is intended or created by these Rates and Terms.
8. ACCEPTANCE Dissatisfaction with services rendered must be communicated in writing to MCG within 5 days of assignment completion. Failure to do so will be deemed acceptance of the services.
